This post is part of the Feature Focus section of my blog. I will pick a generic feature of your package tracking software, campus logistics system, or business process management system and then explain what it is, how it works, and the benefits of using that feature. For this post, I’m going to talk about virtual mailboxes.
Virtual mailboxes allow you to repurpose the space that your physical mailboxes are consuming. By utilizing a barcoded file folder system, you can “virtually” eliminate your mailboxes while maintaining the chain of custody so crucial to many organizations.
How It Works
When mail is delivered by a courier and taken into the holding area of the mail center, a request is created for a virtual mailbox. That mail is then sorted into the student’s individual file folders and the barcode on the folder is scanned. This scan automatically sends an email/text notification to the student stating that they have mail. The student can then come to the mail center to pick up and sign for their mail.
Benefits and Uses
- Optimize space – repurpose vital floor room as you see fit
- Streamline processes – by assigning folders to students on a temporary basis, the process of managing designated mailboxes becomes a thing of the past
- Eliminate physical mailbox management – remove the hassles of managing broken mailboxes, reassigning combinations, and creating lost keys with a folder system that flexes with your student population
